How Much Does Proofreading Cost?

It is not expensive. That is the key point. Some people may think it is, but it isn't.

Some proofreaders use a standard rate, which can be a useful starting point. Proofreading is often best priced through a conversation so that both sides understand what is required and what can realistically be delivered.

What factors impact the cost?

  • Word count, document length.

  • The condition of the draft and how much correction it needs.

  • The type, complexity and subject matter of the document.

  • Formatting, tables, references, footnotes and other layout requirements.

  • The level of service required: proofreading is different from copy-editing, substantive editing and rewriting.

  • The format supplied, such as an editable document, PDF or web page.

  • The turnaround time and whether the deadline is urgent.

Why a conversation matters

A short discussion helps establish the word count, document type, deadline, preferred style and level of service. A sample or brief extract may also help the proofreader judge how much attention the text is likely to require.

It is also an opportunity to discuss flexibility. If a client is facing a tight deadline and the proofreader wants to help, they may be able to adjust the scope, work in stages or rearrange their schedule. Any arrangement needs to work for both parties and must allow enough time to maintain quality.

What should a quote include?

A clear quote should state what is included: the agreed word count, level of service, delivery date, number of passes, file format and total price. It is sensible to clarify how substantial additions or changes after the quote will be handled.

Urgent work may cost more because it can require the proofreader to prioritise the project or work outside normal scheduling. The important question is whether the requested turnaround is achievable without compromising quality.

Price and value

The cheapest option is not always the best value. Alongside price, clients may wish to consider experience, subject knowledge, testimonials, availability, communication and the proofreader’s understanding of the brief.
